Students are pulled into the New Meridian Science Assessment platform (adamexam.com) based on information from the Maine Department of Education’s Synergy Student Data System. This process happens every night.
When a student leaves a school district that district must log into the state-level Synergy portal (https://me-mdoe.edupoint.com/Login.aspx) and deactivate the student using the appropriate exit code. The receiving school can then log into Synergy, find that student, click on them and then enroll them into their school department and school.
Student changes updated in Synergy before 4 PM EST will be uploaded in the next daily roster change file and will reflect the new student. Once the student is assigned to a class in ADAM, they will be able to test.
Sometimes the data person isn’t notified of student enrollment changes by school-based staff. This process can also be done for an entire district or a whole school via downloading a comprehensive enrollment file from the district’s SIS, then uploading the enrollment file into Synergy. It’s recommended that districts do this at least once during the assessment window to be sure students are added or withdrawn from Synergy and thus ensure that students are assigned to the right districts for the Science assessment. This process can take from 20-60 minutes depending on the quality of SIS data. It will ensure that districts are at a good starting point and managing individual students will be needed less frequently.
Because BOTH the sending and the receiving district/school must complete the updates, if a student does not appear as expected 24 hours after the enrollment update, you are encouraged to reach out to the previous school. A list of data coordinators and assessment coordinators can be found under the primary contact type here: https://neo.maine.gov/DOE/neo/Supersearch/. Things to look for are enrollment end dates and start dates not overlapping. Schools will work together to resolve inconsistencies then (either one or both districts will amend the record in their local SIS and Synergy. The next nightly upload will resolve the conflict and the student should be able to test the next day.

ADAM is updated nightly with these updates. If the student exists in ADAM but is missing from a specific class, then SACs, DACs, or TCs can add the student to the class.
